Request to Appear as a Delegation before Council

Requests to appear as a delegation are to be submitted, in writing, on the Request to Appear As A Delegation form to the Director of Corporate Administration. Requests must be received no later than noon on the Wednesday preceding a meeting. Requests received past the deadline will be considered for the next meeting. You may send your written request by email to [email protected] or you may mail it or drop it off at the Municipal Hall. All requests must be accompanied by background information on the issue you wish to address (detail your concerns and what action, if any, you are asking Council to take).

Once your request has been received, you will be contacted to confirm that your request has been accepted and that you have been placed on the Council agenda. If you do not receive a confirmation by Thursday preceding a meeting, you have NOT been placed on the agenda and should contact the Director of Corporate Administration.

Please Note: Each delegation is permitted a maximum of 10 minutes. Please ensure your presentation accommodates the time allotted.

  • Delegations must be requested in writing:
  • Requests must be received no later than noon on the Wednesday preceding a meeting:
  • You will receive written confirmation of your delegation to Council.
  • Please be aware that the agenda is finally reviewed and set on the Wednesday, prior to the meeting.  On occasion, rescheduling does occur during this review, due to volume concerns. We thank you for your understanding when such instances arise.
  • Council has established a 10 minute time limit for presentations, followed by questions or comments from Council Members.
  • Any written information for the agenda or Power Point presentations must be received by the Wednesday prior to the Council meeting day.
  • The Mayor of the District of Coldstream is addressed as “Mr. Mayor” or “Your Worship”, and all questions are directed to the Mayor as Chairman of the meeting.
  • Please be aware that Open Council meetings are open to the public and all submissions are posted to the District’s website for public viewing.
